You can mass edit contacts from the Admin portal – in other words, upload an excel file in CSV or VCF format and import contact details from it. You can download a template here. A CSV file that you want to upload should look something like this:

You can add different columns to your liking so that you get the contact details you need.

NOTE:

If you have a number value, you must set the format as plain text by highlighting the cells with numbers, then Choose Format > Number > Plain Text.

When you are done, you need to export the file as a .CSV file (File > Download > Comma-separated values).

To access the mass edit feature in the Admin portal, select Address book > Mass edit contacts in the front page of the Admin portal. You can see some instructions behind the links in See instructions for CSV-files and Instruction VCF-files, but here you have instructions on adding a CSV file to the system.

1. Click Select file and select the CSV file you want to upload the contact details from
2. A new view opens where you will choose the details to be uploaded
3. Here, you have to make sure you have

I. selected all the columns you want to import under Columns to be imported.
II. changed the drop-down menus on the columns to match their content.
III. selected if you want the contacts to be personal or shared.

4. Then click import
5. Now it is done! The system will notify you with a notification Contact successfully uploaded once the file has been read and uploaded to hallo,. Depending on whether you chose to upload these contact details for your personal address book or as shared ones, you can view them in Administration > Address book > Shared contacts or Private contacts.

As an administrator, you can see your mobile broadbands by logging in to the admin portal, and selecting section Users. Then at the top right you can switch to mobile broadband view.

When you get to the mobile broadband page, you can add a new mobile broadband by pressing New mobile broadband in the upper left corner. When a new mobile broadband has been set up, a SIM card will automatically be sent to your default delivery place or another delivery place if you have multiple.

Once the mobile broadband is created, you will be able to administer this, as well as existing mobile broadbands on the same page. For example: adjusting the SIM card, amount of surfing, name or looking at an overview of data consumption.

To remove a mobile broadband, you need to contact us‍.

You can report your numbers yourself to number reporting services via the admin portal.

This is done in Phone numbers > Current numbers > select one or more numbers > Configure number reporting.

In Configure number reporting, you get the following alternatives:

Hide name
The hidden name is the one associated with the number. Your company’s name will be registered regardless of whether you select to hide your name.

Hide address
If you are reporting a number for a user, the system will prioritise the address which is added to the user’s own contact details.

If there is no address in the contact details, the company’s address will be registered instead.

If you select hide address, there will be no address to report.

Info

When your numbers are reported, it can take some time for the services to add your information to their websites. If the information there is faulty, you should contact the respective site directly.

Most number reporting services have a few different ways or forms to contact them to change your information.

As an administrator, you can order and purchase new numbers. This can be done through the admin portal, in section Phone Numbers. If your company is international, make sure to select the correct country in the top left corner so that you get to purchase numbers for the correct country. After that, click the plus sign in the lower right corner. Then, click the shopping cart next to Acquire new numbers.

When that’s done, select what type of numbers you are looking for (landline numbers or mobile). Then select the preferred area code.

The system will show you all the available numbers and their prices. Once you have selected a number or a number block, click To Order, make sure you have all the numbers you need, and click Continue. You will then be given an order confirmation, so check that the information is correct in it.

When your order looks correct, tick the box I approve the general terms of purchase and select Confirm. Now the numbers have been added to your hallo, environment, where you can select them for use.

You can record new messages for your PBX, which will be played to the people that call you. These messages include welcome messages or messages played to the caller every thirty seconds while they are queuing, for example.

Log in to the Admin portal and navigate to PBX Services > Manage sound to add a new recorded message. Once you have clicked Create a new audio in Manage sounds, you see the following:

Here you need to name your recording. You can also select if you want to add some description to it, e.g. a transcript. Then you have to choose how you want to add the recording:

  1. Call me and record the audio on my fixed phone = This means that after clicking Create sound, the system will call your hallo, softphone. Answer the call and listen to the instructions on what to do. When you have finished the call, the recording will automatically be added to the PBX soundbank.
  2. Call me and record the audio on my mobile phone (requires a validated number) = This means that after clicking Create sound, the system will call your mobile phone. Answer the call and listen to the instructions on what to doWhen you have finished the call, the recording will automatically be added to the PBX soundbank.
  3. Upload an audio file: You can upload it directly to the system if you already have a recording ready. Please note that at the moment, we support only the most common audio formats, such as MP3, WAV, WMA, RAW, and so on.

You can also select to skip adding the audio for now to have the recording as a placeholder.

When the recording has been added, it is shown on the list in PBX Services > Manage sound. There, you can also select it to be played in a particular phase of a call. Here is an example of a welcome message added to a queue:
